Terms of Use
1. Agreement and service operator
These Terms govern your use of AI Proposal Generator at proposals.virtufy.com, operated by [FULL LEGAL NAME OF THE BUSINESS OR PROPRIETOR], trading as Virtufy, at [BUSINESS POSTAL ADDRESS] (“Virtufy”, “we”, “us”). By accepting these Terms during registration, you agree to them. If you act for an organisation, you must have authority to accept them on its behalf.
The service is intended for business users aged 18 or over. If you do not agree, do not register or use the service. Read our Privacy Policy for information about personal data.
2. What the service does
The service assists with drafting business proposals using information you provide, including requirements, RFPs, supporting documents and company background. It can produce structured drafts and supported document exports, subject to the available features, permissions and access limits.
AI-generated content may be incomplete, inaccurate, inconsistent or similar to content generated for others. You must review and verify all output before sharing, signing or relying on it, including pricing, scope, delivery commitments, calculations, factual claims and contractual language. The service does not provide legal, financial or other regulated professional advice and does not guarantee that you will win a contract.
3. Registration, verification and company accounts
Provide accurate information, verify your email address and keep your details current. We may request further information, approve or decline an application, or restrict access to protect the service. Registration and email verification alone do not guarantee approval.
You are responsible for safeguarding your credentials and activity under your account. Do not share passwords. Company administrators are responsible for managing authorised users and their permissions. Notify us promptly if you suspect unauthorised access.
4. Founding customer launch offer
- The public launch offer is limited to 15 approved companies, subject to available places and enrolment being open. Submission time does not guarantee a place; administrator approval is required.
- Approved launch access lasts 90 days from activation and includes up to 3 proposals, with up to 3 regenerations per proposal, subject to the application’s workflow and usage controls. The allowance is shared across the company, not multiplied for each user.
- There is no charge for approved launch access. It does not automatically convert into a paid subscription or authorise us to charge you.
- Additional or future paid plans are available only when expressly offered and selected. Any price, billing, renewal, cancellation and refund terms must be disclosed before a purchase.
- Access to restricted actions may end when the offer expires or its allowance is exhausted. Export any required documents while your access permits it. Retention and deletion are addressed in the Privacy Policy; expiry does not itself mean immediate deletion.
- Do not create duplicate accounts or organisations to obtain additional launch allowances. We may investigate suspected misuse and restrict affected accounts.
We may close enrolment to new applicants. Changes to an already approved offer will be communicated and handled consistently with applicable law and the commitments made at approval.
5. Your content and permissions
You retain the rights you hold in your uploaded materials. You confirm that you have authority to upload and use them, including permission to submit relevant content to external AI providers for processing. Do not upload third-party confidential material, personal information or copyrighted content unless you are entitled to do so.
You grant Virtufy the limited permission needed to host, copy, process, transmit, display and generate responses from your content to provide, secure and support the service. This includes using relevant service providers for those purposes. This permission does not transfer ownership of your source materials to Virtufy.
As between you and Virtufy, you may use generated proposals for your business purposes, subject to applicable law and third-party rights. Virtufy does not claim ownership of your original inputs. We do not guarantee that generated material is unique, copyright-protectable or free of third-party claims.
6. Acceptable use
You must not use the service to create unlawful, fraudulent, deceptive or infringing material; impersonate others; upload malicious files; access another company’s information without permission; bypass access controls or usage limits; probe vulnerabilities without authorisation; or disrupt the service through abusive automated activity.
Do not submit passwords, API keys, payment-card security details or unnecessary sensitive personal information in proposal materials. You are responsible for checking that your intended use meets your organisation’s confidentiality and security requirements.
7. Platform rights and third-party services
Virtufy and its licensors retain their rights in the application, software, branding and platform templates, excluding your materials and rights otherwise granted to you. You may use supplied templates as part of preparing proposals within the service; you may not resell the platform or its template library as a competing product without permission.
The service depends on third-party hosting, AI, email and security providers. Their availability may affect the service. External links are provided for convenience and are governed by the relevant third party’s terms and privacy notices.
8. Availability, suspension and closure
We aim to maintain the service, but uninterrupted operation, error-free results or fixed support response times are not guaranteed unless agreed in writing. Maintenance, technical failures and provider outages may interrupt access. Keep copies of important source materials and approved exports.
We may suspend or terminate access for material breach, misuse, security risks, legal requirements or expiry of access rights. Where reasonably possible, we will explain the reason and allow an opportunity to resolve the issue; urgent protective action may be taken immediately. You may request closure through Contact Virtufy. Closure and deletion requests are handled under the Privacy Policy and applicable requirements.
9. Responsibility and liability
To the extent permitted by applicable law, the service and generated output are provided on an “as available” basis, without a guarantee of fitness for a particular proposal or commercial outcome. You remain responsible for final decisions and commitments made to your customers.
Nothing in these Terms excludes liability or rights that cannot lawfully be excluded, including mandatory consumer protections where applicable. 10. Changes, governing law and disputes
We may update these Terms as the service develops. We will identify the effective date and provide notice of material changes as appropriate. Where required, we will seek renewed acceptance. Changes will not remove rights that applicable law protects.

If any provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law. A failure to enforce a provision immediately does not waive it.
